JOB SUMMARY The Business Development Administrator supports the business development team by managing administrative tasks that enable efficient proposal development, client relationship maintenance, and pipeline management. This role combines strong organizational skills, attention to detail, and a customer-focused mindset to help grow revenue and streamline BD operations.
SUMMARY OF JOB DUTIES -

• Manage and maintain the business development Customer Relationship Management (CRM) systems, QuickBase, proposal logs etc. ensuring accurate and up-to-date records for leads, opportunities, contacts, and account activities.
• Coordinate creation, formatting, editing, and distribution of proposals, kickoff presentations, and RFP responses as needed.
• Prepare and distribute regular pipeline, opportunity, and performance reports to BD leadership and stakeholders.
• Organize and maintain BD documentation, templates, playbooks, and sales support materials.
• Schedule and coordinate internal and client meetings, including preparation of agendas, minutes, and action item tracking.
• Ensure adherence to internal processes, governance, and data integrity standards for opportunities and proposals.
• Provide general administrative support for BD Managers and CM Managers with their daily tasks/or projects.
• Assists sale and marketing initiatives and ensures all sales proposals, sales content and events are consistent and aligned with the company's branding standards.
• Manage all proposals, contracts, presentations through the document control system.
• Performs other duties and projects as assigned or requested.
• Maintains a safe, secure and legal work environment, adhering to all state and federal regulations, Company policies and procedures.
• Contributes to team effort by accomplishing related results as needed.
• Maintains and protects the confidentiality of the Company's information and products.
GENERAL QUALIFICATIONS - Education, Knowledge, and Experience Education: • A four-year college degree (Bachelor's degree) is preferred. 3-5 years of relevant experience may supplement a degree.
Experience: • 0-2+ years of experience in administrative support, sales operations, business development operations, or a similar role.
• Proficient with CRM systems (e.g., Salesforce, HubSpot) and Microsoft Office suite (Excel, Word, PowerPoint).
• Strong written and verbal communication skills.
• Demonstrated ability to manage multiple tasks and prioritize in a fast-paced environment.
• High attention to detail and strong organizational skills.
• Customer-centric attitude and ability to interact professionally with internal and external stakeholders.
Skills: • Business acumen, communication proficiency, customer/client focus, presentation skills, problem solving/analysis, technical capacity.
Preferred Skills/Experience: Other: • Extended or irregular hours may be required.
